Task and Roster Management Launched

Task and Roster Management modules were launched today in Locatingus.com's online Event Management Solution.

With event organisers often juggling multiple things at once the new Task Management tool enables you to create an event to-do list, set start dates, due by dates, and assign Tasks to other users. The powerful collaboration tools enable event managers to stay in-control, plan, track and manage multiple tasks in real-time. Task owners can login and update their tasks - making reporting easier for the event manager.

The new Roster module gives event managers the ability to create Jobs like Cleaning, Security, Car-Parking etc... They can then create one or multiple Shifts with start times and end times and then assign people (Staff and Volunteers) to those shifts. The powerful reporting tools allow event managers to view shifts by Job, Rostered Staff. You can also print Rosters for individuals.

New Security Label

SMS/Txt Support

We are pleased to announce today the release of the new SMS / Txt support function for Visitor Arrival Notifications.

Why SMS / Txt

When visitors arrive at reception or security control they either check-in using the Visitor Kiosk or they are checked-in by a receptionist or security guard. The check-in process requires the visitor to select the staff member they are visiting (their host). The visitor completes additional site questions, acknowledges the site greeting, and recieves a visitor label/badge.

However, Visitor Control does not finish there! - Normally the receptionist or security guard would refer to a staff directory to track down the staff member's details to inform them of their visitor's arrival. Locatingus.com supports this post-check-in process by automatically sending the staff (host) a Visitor Arrival Notification email. These emails can be sent to the staff member and/or their personal assistant and are controlled under the personal Notification Settings for each staff member.

Many customers have stated that staff are seldom at their desk when a visitor arrives AND most do not have their emails re-directed to their cell / mobile phones AND/OR do not have PDA's. The suggestion by many was "could Locatingus.com send the Visitor Arrival Notification as an SMS / TXT to the staff member's mobile?".

What SMS / Txt Platforms are supported?

W will continue to expand the sms / txt platforms supported by Locatingus.com as customer users request them. From today Locatingus.com supports:

txtmail (available from Vodafone New Zealand)

Manage Couriers

For many organizations managing the reciept of courier bags, mail, and other deliveries is a process assigned to the receptionists and security personnel. However what do you do when your reception area is unattended.

With Locatingus.com it is as simple as 1, 2, 3!

This week Locatingus.com released it's new 'Courier and Delivery' tool for unattended receptions. When delivery operators arrive at the reception desk they can register their delivery through the Visitor Kiosk. When the delivery agent arrives at reception they:

Click Courier and Delivery
Select the items being delivered - Parcel (s), Mail, Flowers, Other.
Select 'Yes/No' to - Do you need a signature? and click Submit

An email is sent to up to three (3) people in the organisation notifiying them to the presence of a delivery at reception and whether or not a signature is required.

New Reporting Tools

Find out who was onsite by date, location, who visited, and much more. Our new 'Visitor Reporting' filter in Visitor Management is now available to Administrative users. This has been one of our most highly anticipated feature releases and we are pleased to announce its release today. From the Administrative Reports area Administrative Users will be able to create a report based on the criteria they define. The previous Visitor Report only allowed users to create reports based on a Date 'From' and 'To' setting.

The new 'filter' tool allows you to create reports by a range of criteria including:

Location
Visitor First Name
Visitor Surname
From
Secure Area
Who Visited
Access Control Point Checked-in
Access Contro Point Checked-out
Need Assistance
Visitor ID
Personal ID

150,000 Visitors...

Locatingus.com reached a new annual user peak in 2008 with 150,000 visitors and contractors checking into client sites. With only 12 mins of downtime in the last 2 years this marks a significant milestone in illustrating the power of on-demand applications, their reliability, and robustness.

Of interest is the fact that 65% of visitors checked into sites using a Visitor Kiosk. 25% were checked in by receptionists and security guards in Reception Mode, and the remaining 10% were checked in by staff hosting the visitor from the staff dashboard.
